Free Toastmasters Zoom Timer Backgrounds

Download the three timing backgrounds below — green, yellow, and red, full HD 1920×1080 PNGs, free and unbranded. Add them to Zoom under Settings → Background & Effects, then switch to green at the minimum time, yellow at the midpoint, and red at the maximum. If you would rather not click through Zoom's settings mid-speech, the Toastmasters Timer Zoom app changes them for you automatically.
Download the Backgrounds
Free to download and use for club meetings, contests, and training. These are plain colour images with no logo or branding. Toastmasters International also publishes its own officially branded timing backgrounds in several languages — those are available free from the resource library on toastmasters.org.
How to Add Them to Zoom
- Download all three colours using the links above, saving them somewhere you can find again — Desktop or Documents is fine. Do this before the meeting, not during it.
- Open Zoom's background settings. In the Zoom desktop client, click your profile picture, choose Settings, then Background & Effects. Older Zoom versions label this Virtual Background.
- Add each image. Click the + icon above the thumbnail row, choose Add Image, and select the green file. Repeat for yellow, red, and neutral. All four now sit in your background list, ready to click.
- Test the switch speed. Click between the thumbnails and check that each applies within a second or two. On older machines the first switch can be slow; closing other applications helps, and enabling the green screen option in the same panel makes switching noticeably faster.
- Arrange them in order. Zoom shows backgrounds in the order they were added. Adding neutral, green, yellow, red in that sequence means you are always clicking left to right during a speech, which is far easier under pressure than hunting for the right thumbnail.
Running the Meeting
Start each speaker on the neutral background. Switch to green when they reach the minimum time for their speech type, yellow at the midpoint, and red at the maximum — see the timing chart for the thresholds of every speech type. Return to neutral once they finish, so the next speaker does not start on a red screen.
Ask the Toastmaster of the Day to remind speakers to pin your video, or at least keep it visible in gallery view. A background colour that nobody can see does the same job as a timing card held under the desk. In larger meetings, requesting the spotlight for the Timer during speeches is worth doing.
Where manual switching falls down
This method works well enough for prepared speeches, where you have applause and a handover between speakers. It struggles badly during Table Topics, where responses last ninety seconds and the next speaker starts almost immediately. Clicking through a settings panel three times per speaker, twelve speakers in a row, while also recording exact times, is more than most people can do accurately.
It also has a subtler cost: every switch pulls your eyes off the clock and onto Zoom's interface, which is exactly when a missed threshold happens.
The Automatic Alternative
The Toastmasters Timer runs as a Zoom app and changes your virtual background for you. You choose the speech type once and press start; the background turns green, yellow, and red on its own at the correct thresholds, and returns to neutral when you stop the clock. Your hands stay free and your attention stays on the speaker.

Frequently Asked Questions
What size should a Zoom virtual background be?
Zoom recommends 16:9 at a minimum of 1280×720. The files here are 1920×1080, which is full HD 16:9 and displays without cropping on every Zoom client.
Can I use the official Toastmasters backgrounds instead?
Yes, and many clubs prefer them. Toastmasters International publishes branded timing backgrounds in several languages, free from the resource library on toastmasters.org. Why does manual switching not work well?
Each change means several clicks through Zoom's settings while a speaker is mid-sentence, and Table Topics leaves barely a second between speakers. It also breaks your attention on the clock. An automatic timer removes both problems.
Do virtual backgrounds work without a green screen?
On most modern computers, yes — Zoom separates you from your background in software. If edges look ragged or the colour flickers, turn on the green screen option in Zoom's background settings and sit in front of a plain wall.
Can I use these in Microsoft Teams or Google Meet?
Yes. They are ordinary PNG files, and both Teams and Meet accept custom background uploads at the same dimensions.
Can my club redistribute these?
